Your privacy matters to us. This Privacy Policy explains how STAMPIA ("we", "us", "our") collects, uses, stores, and protects your information when you use our mobile application and related services.

1. Information We Collect

1.1 Location Data

When you start a shift, we collect:

GPS coordinates (latitude & longitude)
Timestamps of location points
Location accuracy data
Reverse-geocoded address (street name, city, postcode where available)

Purpose: To verify presence, generate movement trails, display timelines, and create professional reports.

1.2 Photos & Evidence

When you capture photos during a shift, we collect:

The image itself
Time and date of capture
Location data at time of capture (when available)
Associated evidence metadata

Purpose: To provide verifiable photographic evidence of presence.

1.3 Notes

When you add notes, we collect:

Note text
Timestamp
Location data at time of entry (when available)

Purpose: To log observations and contextual information during a shift.

1.4 Shift Information

We collect:

Shift start and end times
Shift duration
Site or location name (if entered)
Generated pair codes for live viewing

1.5 Device & Technical Data

We may collect limited technical data:

Device type and operating system
App version
IP address (for server communication)

1.6 Integrity & Tamper Detection

To maintain data integrity and protect the reliability of evidence, STAMPIA detects and deters time tampering by comparing device-reported timestamps against trusted server time. We may also detect location-related anomalies.

Important: If the app detects significant discrepancies between your device time or location settings and expected values, access to certain features may be temporarily restricted until settings are corrected. This is designed to protect the integrity of all users' records and is similar to security measures used by other applications.

Data collected for integrity purposes includes:

Server-received timestamps for comparison
Time drift calculations between device and server
Location consistency indicators

2. How We Use Your Data

We use your data to:

Track and display shift activity
Generate PDF reports
Enable live view sharing when you choose
Improve app performance and reliability
Provide customer support
Send important service-related messages such as security notices or significant feature changes

We do not use your data for advertising.

3. Data Sharing

3.1 Who Can Access Your Data

You: Full access to your own data
People you share with: Only when you share a live link or report
Service infrastructure providers: Used solely to host, store, and process data required to operate the service securely

3.2 We Do Not Sell Your Data

We do not sell, rent, or trade personal data.

3.3 Legal Obligations

We may disclose data if required by law.

4. Data Storage & Security

All data transmitted between the app and our servers is encrypted using industry-standard HTTPS (TLS)
Stored data, including photos and location records, is protected using secure cloud infrastructure with encryption at rest
Access to live data is controlled via time-limited links and unique pairing codes
Pair codes are temporary, randomly generated, and expire automatically when a shift ends
Verification links expire 48 hours after a shift ends – after this period, the public viewer will display a lock screen and shift data will no longer be accessible

Need access to an expired link? Contact the original sender to request a new verification link, or reach out to STAMPIA support at contact@stampia.tech.

Access to stored data is restricted to authorized systems and personnel required to operate the service.

No system is 100% secure, but we apply reasonable technical safeguards.

4.1 Where Your Data Is Stored

Your data may be stored on servers located in the United States. Where required by law, international data transfers are protected using appropriate safeguards such as standard contractual clauses.

4.2 Third-Party Services

STAMPIA uses the following third-party services to provide functionality:

OpenStreetMap (Nominatim): For reverse geocoding (converting GPS coordinates to street addresses). Your coordinates are sent to OpenStreetMap servers to retrieve address information. OpenStreetMap Privacy Policy
Railway: For secure cloud hosting and object storage of photos and data

These services receive only the minimum data necessary to provide their function.

5. Data Retention

During the trial period, shift data is retained for a limited time to support reporting and verification features.

Retention periods may change as paid plans are introduced. Any changes will be clearly communicated in the app before taking effect.

You may delete your data at any time from the app settings or by contacting us.

6. Your Rights (GDPR)

If you are in the UK or EU, you have the right to:

Access your data
Correct inaccurate data
Request deletion
Export your data
Withdraw consent

7. Children's Privacy

STAMPIA is intended for adults aged 18 and over. We do not knowingly collect personal data from children. If you believe a child has provided us with personal data, please contact us and we will delete it.

8. Changes to This Policy

We may update this Privacy Policy. Continued use of the app means acceptance of changes.
